Position Description:
ACEC is seeking an experienced, senior association professional as the Senior Vice President, Meetings, Exhibits and Awards. The Senior V.P, Meetings, Exhibits and Awards will plan and produce successful, high-quality, compelling and profitable ACEC national Fall and Spring conferences and related exhibit and sponsorship programs; plan and produce Executive Committee meetings twice a year at select destinations; continuously grow ACEC non-dues revenue related to ACEC events including revenue related to meetings, exhibits, advertising and sponsorships; oversee site selection, contract negotiations and vendor management for all ACEC educational in-person events and governance meetings; work with Membership Department to grow the base of Affiliate/Supplier membership and oversee Affiliate Advisory Committee; oversee production of the annual national Engineering Excellence Awards (EEA) competition including project entry and review, culminating in a top-shelf EEA Gala; and oversee programming for the ACEC College of Fellows and its related individual awards and scholarships programs.
Duties:
1. Direct ACEC’s Meetings, Exhibits and Awards Department, including supervising a high-performing team and managing a budget to maximize revenues.
2. Serve on ACEC Senior Management Team. The Senior Team (department heads) serve as top advisors to the CEO helping to create and direct effective strategies.
3. Plan, direct and execute operations for two national conferences with approximately 1000+ attendees each, including the Spring Annual Convention in Washington, D.C. and the Fall Conference held in various locations. Responsible for program development, site selection, contracting, vendor selection, and staff coordination and leadership.
4. Oversee exhibit and sponsorship program for both national conferences. Supervise staff responsible for exhibit and sponsorship sales, and liaison with exhibit hall and related vendors.
5. Research and secure compelling keynote speakers for both national conferences (usually 2-3 per event.)
6. Coordinate with Communications team on all marketing efforts for attendance at both national events.
7. Oversee all advertising sales for association quarterly publication Engineering, Inc. as well as the development, sales, and management of all digital advertising opportunities.
8. Responsible for the development, sales, and deliverables of sponsorship opportunities across all ACEC activities.
9. Oversee and manage ACEC Awards Programs, including the programs of the ACEC College of Fellows for individual recognition as well as the Engineering Excellence Awards Program. Involvement with ACEC committees governing these programs.
10. Direct production and logistic operations for Annual black-tie EEA Awards Gala, for approximately 600+ attendees and congressional delegates, including staging, lighting, decor, Master of Ceremonies, Reception and After Party and coordination/rehearsals for stage presentation.
11. Oversee hotel and vendor selection for internal departments, securing facilities, negotiating contracts and direct all logistics and execution for all ACEC in-person meetings.
12. Oversee in-house meeting catering for planned internal meetings/retreats.
13. Book facilities, plan and execute logistic arrangements for governance meetings. Provide on-site logistical support at Winter and Summer Executive Committee meetings, including activities, hospitality suite, and dining and insure VIP treatment.
Qualifications:
Strong leadership and diplomacy skills and experience serving as part of a high-achieving and highly collaborative professional team.
12-15+ years’ experience in meeting planning and production in an association environment, at least 5 of which have been at a VP or senior level managing functions similar to those described above.
At least 5 years’ experience in successfully managing a sales team to achieve goals in exhibit, advertising and sponsorship revenue streams.
Experience in team strategic planning and visioning, budgeting accountability, and management of staff teams.
Multi-year experience and proven success in supervising and developing staff.
Established professional relationships with key players in the meetings industry and supplier community.
Extensive experience negotiating and managing hotel contracts for small meetings as well as large conferences.
Proven, measurable success in the planning, promotion and production of meetings with 1,000+ attendees, including concurrent functions, exhibits and sponsorship fulfillment, meal functions and VIP events for executive-level individuals or groups.
Extensive experience in Main Stage production (stage set, sound, lights, video) including the selection of keynote speakers and entertainment, managing rehearsals and VIP treatment.
Extensive experience in managing the on-site execution of logistics associated with national conferences including staffing, housing, registration, food & beverage management, entertainment, and VIP hospitality.
Experience managing member committees in an association environment.
Proven experience with the successful production of black-tie galas and VIP executive meetings.
Outstanding communications skills (verbal and written).
