Summary of Responsibilities/General Description:
This position will work with the company’s non-profit association clients in a fast-paced, customer-focused work environment. The individual must possess the following strengths: detail organized, provide excellent customer services to members, be successful in managing many different projects, and possess excellent written and oral communication skills. Additionally, they should excel at learning current and emerging technologies, be a strong project manager, and be articulate and efficient. A successful candidate will have an excellent work ethic and the ability to work independently as well as on a team. The position requires a flexible and service-oriented individual with strong computer and people skills with the ability to:
Balance multiple deadlines and priorities.
Respond to a variety of volunteer, member and non-member requests, inquiries and/or issues by phone and email to ensure a positive experience with the association.
Take initiative and leadership on projects for the association.
Work closely and successfully with volunteers with different personalities and work styles.
Implement member engagement, communications strategies and program management.
Membership Responsibilities:
Respond to membership inquiries, including assisting members with how to log in, reset passwords, and access resources and programs.
Issue annual renewal notices to members, manage renewal process, and follow up and distribute reminders. Promote membership, the association, education, programs and member benefits.
Learn, maintain, update, and program the membership database. Troubleshoot as needed.
Be familiar with the associations programs and policies in order to assist members and non-members.
Pull membership reports and distribute.
Respond to requests for purchases; mail, process, and bill as needed.
Communications and Event Responsibilities:
Lead communications for the associations. Write copy, schedule, meticulously proofread, and coordinate communications for email blasts, newsletters, ads and other mediums. Develop and tailor content as needed to promote individual programs and events with different audiences.
Work directly with the Executive Directors to provide support as needed for association projects.
Work with Senior Meetings Manager and volunteers to support the conferences including liaising with the conference facility, setting up registration, obtaining final agendas, coordinating with speakers and sponsors, and managing registration onsite.
Develop and coordinate advertisements, program books, agendas, registration brochures and other items supporting the conference including drafting copy, proofreading, and working with graphic designer and meeting planner as needed.
Understand the administrative functions in the backend of the websites. Update, post documents and make edits to the websites. Proof websites for accuracy and troubleshoot as needed.
Work with outside vendors to assist in developing education offerings and promote to members.
General:
Develop and maintain a working calendar of projects and deadlines. Work with Executive Directors to develop priorities. Keep others informed about issues of importance and status of projects.
Process all association payments, initiate treasurer approval and accounts payable requests, and create invoices when necessary.
Assist Executive Directors with creating board agendas, collect reports, disseminate materials, provide support to the board prior to and during meetings, attend and provide input as needed, draft minutes and follow up with action items as needed. Manage meeting coordination for boards and committees, both in-person and virtual. Use virtual meeting software to facilitate meetings.
Lead and coordinate additional projects and programs for the associations.
Perform additional duties as assigned by the Executive Directors.
Assist in answering the phone lines and directing calls when needed.
Bachelor’s Degree
Minimum of three years working experience in association management. Experience with event management and volunteers is a plus.
Candidate must be able to travel up to three times per year
