The American Public Transportation Association (APTA) is seeking a highly motivated and detail-oriented Meetings Manager to join our dynamic team in Washington, D.C. The Meetings Manager will join a team of meetings professionals responsible for the planning and execution of APTA’s meetings through the implementation of strategy, delivery of objectives and execution of logistics. They will play a vital role in ensuring the successful execution of assigned events, creating meaningful experiences for our attendees, and advancing the goals of our organization. Responsibilities include: managing all logistical aspects of conferences - housing, audio-visual, food & beverage, signage, decorating, and trade show; preparing and monitoring budgets for assigned conferences and workshops, ensuring appropriate utilization of funds; preparing meeting reports and identifying trends; coordinating with exhibitors and sponsors as appropriate; researching venues for programs, analyze options, and make recommendations accordingly; negotiating and reviewing contracts with hotels and other vendors; overseeing and monitoring contractual arrangements with hotels, housing, audio-visual, registration, and decorating vendors; working cooperatively with other APTA departments, event host agencies, and event planning committees; staying updated on meeting planning trends, standards, and innovations by attending lectures, seminars, conferences, and meetings; and conducting pre-conference and post-conference meetings with APTA senior leadership and staff as appropriate.
Qualifications include: bachelor's degree required, with a minimum of 5 years' experience in event management (CMP designation preferred); strong organizational, project management, and budgeting skills; proficient in working under tight deadlines, handling multiple projects concurrently, and delivering events on-time and within budget; ability to develop and analyze qualitative and quantitative data; excellent written and oral communication skills; proven ability to cultivate and strengthen relationships and partnerships, with a strong emphasis on providing exceptional customer service; willingness to travel to support conferences; and experience working with NetForum and eShow is a plus.
