Position Summary:
The Foundation for Anesthesia Education and Research (FAER) is a 501(c)3 charitable organization, and a related organization of the American Society of Anesthesiologists®. For over 35 years, FAER has been dedicated to developing the next generation of physician-investigators.
The FAER Executive Specialist will provide executive-level administrative support to FAER staff and key physician leaders. Demonstrate confidence and take ownership in handling questions, phone calls, arranging travel, schedules, etc. of principals located both on-site and remotely. Efficiently manage and prioritize many projects and tasks concurrently that support multiple team members, while working independently with minimal oversight.
Primary Position Responsibilities:
· Provide executive level support to key FAER physician leaders and staff regarding their FAER calendars and travel needs (FAER President and CSO, FAER Board Chair, FAER Executive Director). Identify and keep track of follow-up items regarding their schedules.
· Provide support to FAER staff as needed on key projects requiring administrative or project management support.
· Liaison to the Board of Directors, including attendance at all Board meetings; responsible for taking the official minutes at the Board, committee, and task force meetings. Assist with agenda and deck development, distribution, and meeting follow-up. Manage and organize board and committee online platform.
· Liaison to all Board Strategic Task Forces, helping to schedule calls, source documents, conduct research, and coordinate creation of reports.
· Serve as the exhibit and meeting planner for FAER, including but not limited to Friends of FAER, Annual Mentored Research Training Grant Meeting, ANESTHESIOLOGY, ADVANCE, and other events as well as in house FAER meetings and retreats, including Board meetings.
· Arrange and schedule detailed meetings and conference calls, facilitate hosting web-based video conference calls, compile agenda packets, and provide follow up, as requested.
· Effectively communicate with a variety of FAER stakeholders, including Board members, grant recipients, program participants, donors, and American Society of Anesthesiologists staff and physician members.
· Manage and process all FAER invoices, expense reports and contracts. Assist in creation of annual budget and projections.
· Proofread reports, presentations, program materials, communications, and publications. Make minor updates to FAER website as directed. Provide support in developing marketing materials as needed.
· Create and maintain Standard Operating Procedures (SOP’s) and FAER Administrative Procedures (AP’s)
· Provides backup FAER duties as needed within other areas of FAER.
Position Qualifications:
· Bachelor’s degree in related field preferred.
· Minimum 3 years of related experience required, including executive level administrative support and meeting planning. Experience with foundation, non-profit or fundraising organization helpful.
· Proficient in Microsoft Office applications, video conference call/webinar tools, and other productivity focused tools. Strong skills pertaining to Microsoft Outlook required.
· Clear and consistent communicator (verbal and written). Excellent writing and proofreading skills.
· Excellent time management skills and ability to multi-task and prioritize work.
· Ability to communicate with a variety of stakeholders, including FAER member leaders and staff, requiring a high level of finesse, diplomacy, and professionalism. Experience working with healthcare providers and their team members a plus.
· Ability to efficiently manage and prioritize many projects and tasks simultaneously; ability to provide support for multiple team members while working independently with minimal oversight.
· Able to maintain confidentiality of information, demonstrate exceptional decision-making and critical thinking skills as well as consistent attention to detail and follow-through.
· Must be willing to adapt to the demands of a rapidly changing work environment.
