 Key Responsibilities 
 Committee &#38; Volunteer Management 
 
 Serve as primary staff liaison to 5 scientific committees and 1 standing committee&#xa0; 
 Coordinate committee operations, including scheduling, agendas, minutes, and follow-up&#xa0; 
 Partner with committee leadership to identify program topics, speakers, and initiatives &#xa0; 
 Track engagement and support annual reporting and volunteer stewardship efforts&#xa0; 
 
 Program &#38; Event Operations (Multi-Format) 
 
 Manage operations for live, hybrid, virtual, and on-demand programs&#xa0; 
 Lead or support webinars, workshops, symposia, summits, and Annual Meeting activities&#xa0; 
 Develop timelines, run-of-show documents, rehearsal schedules, and operational plans&#xa0; 
 Coordinate speaker and faculty logistics, including invitations and materials&#xa0; 
 Provide backup support for Annual Meeting session and speaker management&#xa0; 
 Support onsite and virtual execution to ensure high-quality attendee experiences&#xa0; 
 
 Learning Management System (LMS) Support 
 
 Manage course setup, content packaging, and user access within the LMS&#xa0; 
 Provide technical support and ensure content accuracy&#xa0; 
 Assist users with assessments, certificates, and accreditation requirements&#xa0; 
 Content Development &#38; Curation 
 Lead development of professional development and regulatory content bundles&#xa0; 
 Support curation of content for regulatory, trainee, and early-career audiences&#xa0; 
 Identify content gaps and collaborate on thematic collections&#xa0; 
 
 Digital Production &#38; Technical Support 
 
 Set up and support webinars, virtual symposia, and workshops&#xa0; 
 Provide backup support for digital production and facilitation&#xa0; 
 Assist with video recording, editing, and technical quality checks&#xa0; 
 Troubleshoot issues during live virtual events&#xa0; 
 
 Cross-Department Collaboration 
 
 Collaborate with Marketing, Meetings &#38; Events, Policy, Development, Publications, Membership, and IT teams&#xa0; 
 
 Project Management &#38; Reporting 
 
 Manage timelines using project management tools&#xa0; 
 Maintain documentation and version control&#xa0; 
 Track metrics and generate performance reports&#xa0; 
 Contribute to SOP development and process improvements&#xa0; 
 
 Additional Responsibilities 
 
 Support special projects and organization-wide initiatives&#xa0; 
 Travel up to three weeks per year&#xa0; 
 Occasional evening or weekend work (less than 10%) 
 
 
 
 
 
 Required Qualifications 
 
 Bachelor&#8217;s degree (science or education-related field preferred)&#xa0; 
 3+ years of experience in program management, event coordination, or scientific education&#xa0; 
 Strong organizational, communication, and project management skills&#xa0; 
 Experience with digital learning platforms, project management tools, and video editing&#xa0; 
 Ability to manage multiple projects and deadlines simultaneously&#xa0; 
 Strong problem-solving skills, including risk identification and mitigation&#xa0; 
 Ability to work both independently and collaboratively across teams&#xa0;

With more than 7,000 members worldwide, AAAAI supports education, research, clinical care, and advocacy to improve patient outcomes. Its work includes publishing leading scientific journals, hosting an annual scientific meeting, providing continuing medical education, advocating for issues impacting physician practice, funding research through its Foundation, and offering resources and tools for both clinicians and the public. The Practice &#38; Policy Division facilitates volunteer physician leadership efforts to support AAAAI members through practice management resources and by advocacy and education outreach to payers, federal and state regulatory agencies, collaboration with other interested organizations, and regulatory and legislative authorities at the state and national level. JOB OVERVIEW: Responsible for developing and managing program initiatives related to the AAAAI strategic plan, ensuring standardization of key processes, optimal use of resources and continued interaction with program participants. POSITION RESPONSIBILITIES  (minimum of 37.5 hours/week): 
 
 Develop and manage program initiatives related to the Practice &#38; Policy initiatives in the AAAAI strategic plan, ensuring standardization of key processes, optimal use of resources and continued interaction with program participants. 
 Collaborate with the Director, Practice &#38; Policy in serving as a liaison to external collaborators and funders, ensuring that the AAAAI is viewed as organized, professional and the source for expertise in allergy/immunology. 
 Develop materials and reports (oral, written and digital) for the appropriate committees, task forces or Board of Directors on program initiatives, making recommendations for continuation or expansion of existing programs based on results and evaluations. 
 Plan and implement webinars and meetings, including working with Education staff to ensure compliance with accreditation guidelines and support accreditation excellence goals. 
 Develop/write/update program materials and proposals to secure support of various initiatives. 
 Monitor the healthcare environment and policy as it impacts the AAAAI and the specialty to engage in strategic discussion and brainstorming with the Practice &#38; Policy team and our members. 
 Serve as liaison to various assigned committees within the AAAAI, coordinating activities and providing support as needed to achieve objectives.

 Position Overview 
 The Marketing Communications Specialist plays a key role in promoting the League&#8217;s programs, services, events, and value to municipal and business members, sponsors, exhibitors, and other stakeholders. Working closely with the Director of Marketing, Communications &#38; Events, this role helps translate organizational priorities into coordinated, multi-channel marketing communications strategies and campaigns. 
 This position combines strategic planning and independent execution, with responsibility for creating, managing, and delivering written and visual content across print and digital platforms. The ideal candidate is organized, proactive, and comfortable managing multiple priorities in a fast-paced, mission-driven environment. 
 &#xa0; Areas of Responsibility 
 
 Develop, manage, and execute marketing communications plans and campaigns that promote the League&#8217;s programs, services, events, publications, and membership value 
 Create and maintain a strategic marketing and content calendar, aligning messaging across departments, audiences, and platforms 
 Lead content planning, production, and distribution for our monthly magazine, electronic newsletters and email marketing campaigns, website content, social media channels, and other print and digital materials 
 Write, edit, and coordinate the development of clear, engaging content that reflects the League&#8217;s brand voice, mission, and nonpartisan role 
 Collaborate with League staff, members, and outside vendors (designers, printers, freelancers) to develop messaging, visuals, and materials

 Ensure consistency of messaging and visual identity across all communications

 &#xa0; Required Knowledge, Skills, and Abilities 
 
 Bachelor&#8217;s degree in Marketing, Communications, Journalism, or a related field, or equivalent professional experience 
 A minimum of three years of professional experience in marketing, communications, public relations, or a related role (association, nonprofit or local government experience a plus) 
 Demonstrated ability to develop and execute marketing communications plans and manage multiple projects simultaneously 
 Strong writing, editing, and proofreading skills, with attention to detail and tone 
 Experience creating written and graphics-based content for both print and digital communications 
 Familiarity with email marketing, social media, and website content management 
 Ability to work independently, exercise sound judgment, and manage deadlines in a collaborative team environment 
 Interest in mission-driven work and willingness to learn about local government and municipal issues 
 
 &#xa0; Preferred Experience and Training 
 
 Strong project management skills and ability to prioritize competing deadlines 
 Experience working with marketing and design tools such as Constant Contact, Canva, Adobe Creative Suite, or similar platforms 
 Comfortable collaborating across departments and with external partners 
 Experience producing or managing periodical publications or magazines
