The Georgia Apartment Association (GAA) is the statewide trade association representing the multifamily housing industry across Georgia. GAA works in partnership with local affiliates to support advocacy, education, and industry advancement. The Georgia Apartment Association Foundation (GAAF) is the philanthropic arm of the Association, focused on workforce development, industry awareness, and community impact initiatives.
Position Overview: The Programs Specialist will support the development, coordination, and execution of programs, events, and governance functions for GAA and GAAF. This role is fully dedicated to advancing the operations and strategic initiatives of both organizations. GAA and GAAF operate as a department of two, with the Executive Director and Programs Specialist working collaboratively to advance shared goals, programs, and initiatives.
In this multi-functional role, the Programs Specialist will manage program logistics, support Board of Directors operations, maintain digital platforms including the website and Association Management System (AMS), and assist with communications and content development. The Programs Specialist will work closely with leadership, members, industry partners, and affiliate associations to deliver high-quality programs and ensure effective organizational operations.
Key Responsibilities: Program & Event Coordination • Plan, coordinate, and execute GAA and GAAF programs, meetings, and events from concept through completion • Manage event logistics including timelines, vendor coordination, registration, materials, and onsite support • Track program participation and prepare post-event reports and evaluations
Membership & Customer Service • Serve as a point of contact for member inquiries related to GAA and GAAF programs and initiatives • Provide timely, professional customer service while supporting member engagement through programs, communications, and follow-up • Maintain accurate member records within the AMS
Governance & Board Support • Coordinate GAA and GAAF Board of Directors meetings, including scheduling, agenda preparation, materials, and meeting minutes • Assist with preparation of board reports, presentations, and supporting materials • Support communication with board members and leadership
Digital Platforms & Systems Coordination • Maintain and update GAA and GAAF websites, ensuring content is accurate, current, and aligned with organizational priorities • Utilize and manage the AMS for program tracking, reporting, and communications • Maintain accurate data and support reporting needs across programs and initiatives
Communications & Content Development • Develop and edit presentations, reports, and program materials • Support member communications related to programs and initiatives • Assist in maintaining consistent messaging across platforms and materials • Collaborate with the Marketing & Communications Team to align messaging, branding, and promotional efforts
Workforce Development & Industry Affiliate Engagement • Coordinate outreach with colleges, high schools, and workforce development organizations • Support workforce initiatives including preparation for and attending career fairs, workshops, and similar events • Maintain communication and scheduling with education and industry partners
Other Duties • Collaborate across GAA, GAAF, and affiliate associations to support shared programs and initiatives • Identify opportunities to improve processes and enhance program effectiveness • Provide operational and project support to leadership as needed • All other duties as deemed appropriate by the Executive Director of GAA and GAAF and the President and CEO of the Atlanta Apartment Association (AAA)
Qualifications: • 3–5 years of relevant experience in program coordination, event management, nonprofit, or association environments preferred • Bachelor’s degree or an equivalent combination of education and relevant experience preferred • Proven ability to manage projects and events from planning through execution • Strong organizational and time management skills with attention to detail • Excellent written, verbal, and interpersonal communication skills • Experience with website management and/or content updates preferred • Experience with AMS preferred • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint) • Ability to manage multiple priorities in a fast-paced environment • Strong problem-solving skills and proactive mindset • Experience working with volunteer boards or committees is a plus • Willingness to attend and support onsite events; occasional evening and travel required (primarily within Georgia)
